WHAT THEY WANT

(Summarized from the RFP)

Ada County Sheriff's Office (ACSO) is seeking a modern, enterprise-class, commercial off-the-shelf (COTS) Learning Management System (LMS) to replace a fragmented combination of commercial software applications, spreadsheets, and manual workflows currently used by its Training Department. The selected platform must serve as a unified operational hub for managing employee training, academy operations, instructor administration, certifications, regulatory compliance, scheduling, equipment, inventory and asset tracking, reporting, and related administrative functions. The system must be web-based, secure, configurable, and scalable to support the agency's continued growth.

WHAT OTHERS ASKED

109 questions answered

▶

To confirm, is the County seeking a software platform (LMS) exclusively for administrative tracking, testing, and scheduling, or does the scope include the provision/licensing of pre-built third-party course content?

Scope/requirements

▶

Section III.C requires return of all data within 30 days and states Contractor shall "in no event" retain copies. Will ACSO permit retention in routine backups and as required by law (subject to confidentiality until purged)? What data-export format will ACSO require on termination, and can ACSO confirm this provision applies to ACSO data only and does not transfer Contractor’s software or IP?

Award & contract

▶

Will ACSO accept the Contractor’s standard support SLA and target response times, with "resolution" defined as commercially reasonable efforts and/or a workaround, in lieu of a guaranteed 8-hour resolution?

Administrative

▶

For the stated support SLAs (Critical: 2-hour response / 8-hour resolution, 24/7/365; Noncritical: 24-hour / 48-hour), are these firm contractual requirements with associated remedies, or target objectives? Please confirm how "resolution" is defined (e.g., permanent fix vs. workaround). (Attachment A, I.A)

Award & contract

▶

Approximately how many active and separated/historical employee records must be supported and/or migrated? (Attachment D, Employee and User Profile Management)
